These Terms and Conditions (“Terms”) govern your use of the Sysrooms.com website and the services provided by SHA Hospitality and Services Pvt. Ltd. (the “Company”), which operates Sysrooms.com as a platform for hotel bookings.

By using Sysrooms.com, including making hotel reservations or listing your property, you agree to be bound by these Terms. If you do not agree to these Terms, please refrain from using the Website or its services.


1. Definitions

  • Sysrooms.com: The online platform operated by SHA Hospitality and Services Pvt. Ltd. that facilitates hotel bookings and reservations.
  • Hotel Owner: A person or entity who lists their hotel, guesthouse, or accommodation services on the platform for booking by guests.
  • Guest: A person who makes a booking for accommodation via Sysrooms.com.
  • Booking Confirmation: The official confirmation issued to a guest once the payment for the booking is successfully processed.

2. Hotel Owner Responsibilities

By listing a property on Sysrooms.com, the Hotel Owner agrees to the following:

2.1 Payment and Confirmation

  • Once a guest books a room via the Pay Now option, the full booking amount (including taxes and service fees) will be charged upfront and credited to the hotel account.
  • A Booking Confirmation will be sent to the guest once the payment is successfully processed.

2.2 No Denial of Check-In

  • Hotel owners must honor all bookings confirmed through Sysrooms.com. Once a guest has made a payment and received a confirmation, the hotel is obligated to provide the guest with the room as per the details in the booking.
  • Exceptions to Denial of Check-In:
    • Emergencies or natural disasters affecting hotel operations.
    • The guest’s arrival time is significantly delayed, and no prior notice of delay has been provided.

2.3 Penalty for Denied Check-In

  • If the hotel denies a guest’s check-in without a valid exception, the hotel will incur a penalty equal to double the payment received for the booking. This penalty will be deducted from the hotel’s account.
  • The hotel may also face removal from Sysrooms.com‘s platform, subject to investigation.

3. Guest Protection and Issue Resolution

In the event that a guest is unable to check in or faces issues upon arrival, Sysrooms.com will handle the situation to ensure guest satisfaction.

3.1 Alternative Accommodation

  • If a guest is unable to check in at the hotel due to an issue caused by the hotel (e.g., overbooking, maintenance problems), Sysrooms.com will:
    • Find alternative accommodations of equal or better quality.
    • Ensure the guest is relocated at no extra cost.
    • Provide compensation to the guest, such as a refund, future booking voucher, or discount.

3.2 Compensation for Inconvenience

  • In addition to arranging alternative accommodations, Sysrooms.com will offer appropriate compensation to the guest for the inconvenience caused. This could include:
    • Partial refund of the booking fee.
    • Vouchers for future bookings.
    • Discounts on future stays.

3.3 Hotel’s Responsibilities

  • In case of check-in issues, the hotel must immediately inform Sysrooms.com support staff.
  • Hotels are expected to cooperate with Sysrooms.com in resolving issues quickly, including allowing the guest to be relocated to alternative accommodations without any extra charges.

3.4 Dispute Resolution

  • If a guest is dissatisfied with the resolution provided by Sysrooms.com, they may request a full refund, and Sysrooms.com will process this in accordance with its guest protection policies.

4. Data Protection and Privacy

4.1 Data Collection and Use

  • By using the services of Sysrooms.com, both hotel owners and guests agree to provide accurate and complete information for the booking and guest services.
  • All personal data provided will be processed and stored in accordance with Sysrooms.com‘s Privacy Policy, which is available on the Website.
  • Hotel owners are required to comply with applicable data protection laws, including the Personal Data Protection Bill, 2019 (or any future amendments) and maintain the confidentiality of guest information.

4.2 GDPR Compliance

  • For guests and users from jurisdictions such as the European Union, Sysrooms.com ensures compliance with the General Data Protection Regulation (GDPR) regarding data processing, rights to access, and consent to data collection.

5. Force Majeure

Neither Sysrooms.com nor the hotel shall be liable for failure to fulfill their obligations in the event of force majeure. Force majeure events include, but are not limited to:

  • Natural disasters
  • War or civil unrest
  • Strikes
  • Government regulations
  • Pandemics or epidemics

If a force majeure event affects a guest’s booking, Sysrooms.com will work with the guest to find alternative accommodations or process a refund.


6. Jurisdiction and Governing Law

These Terms and Conditions are governed by and construed in accordance with the laws of India. Any disputes arising out of or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts located in [Lucknow, (U.P)], India.


7. Amendment of Terms

Sysrooms.com reserves the right to update or amend these Terms and Conditions at any time. Any changes will be posted on this page with an updated “Effective Date.” It is your responsibility to review these Terms periodically for any updates.


8. Dispute Resolution and Arbitration

In case of any disputes between the guest and the hotel or between the hotel and Sysrooms.com, the parties agree to resolve the dispute through binding arbitration under the Arbitration and Conciliation Act, 1996. The arbitration will be held in Lucknow, and the proceedings will be conducted in English Or Hindi.
